Contract information

The information about an individual contract is presented in four separate panels: Dashboard, Arrivals & Departures, Proactive care and Sensors.

Dashboard

The dashboard presents all the most important information regarding a contract, and gives you the option of editing most of the information.

Additionally, by clicking the 'Action' button, you will be able to carry out all the most important activities regarding a contract, including creating a quote for contract extension, charging the contract and more.

In the 'Files attached to the contract' box, you will be able to attach any type of documentation relevant for a specific contract - the customer's identification documents, insurance documentation, deed of ownership etc. However, simply uploading these files is not enough. You will have to properly fill out the boxes with the requested info so that this info can be used by the system - the uploaded PDF, JPG or any other type of document is for your reference, but the application needs textual information in order to use these documents.

An important thing to note is the 'Contract modifications' box near the bottom of the screen. Whenever you wish to change any data that is presented on the contract PDF, and then signed by the customer, you will need to register these modifications, such as changing the berth, end date etc. in this box. To do so, click the 'Action' button and select 'Contract modifications'. Once you have entered all the changes, click the 'Action' button again and select 'Generate contract PDF'. This will generate a new contract PDF, that you then need to sign and have the customer sign for it to be valid.

Arrivals & Departures

In this section, you can track the location of the ship in your marina – when it departs and arrives in your marina and at which berth.

Announced absences

For a busy marina, announced absences can make a huge difference in resource utilization.

The key here is to motivate your customers in some way to let you know when their boat will be spending a longer period outside of your marina – for example, if the customer is taking the boat out for a cruise for a few weeks.

Once a customer announces their absence, you simply need to head to this section, click the Create button in the Announced absence panel and enter the above information.

The absence will be noted and when the boat's absence is noted via the dock walks, the berth will be listed as available for a specific period, allowing you to safely place transit boats at that berth, thus ensuring a higher utilization of a given berth.

Berths

In the berths pane, you can check where the boat was registered during the dock walks and how long it stayed at a certain berth.

Status

In the status pane, you can check all dock walk activities carried out for a specific boat, which berth the boat was registered at, when it was registered and by which of your employees.

Proactive care

In the proactive care section of a specific contract, you can check all the proactive care activities carried out for the contractual boat in your marina.

You can check the following:

  • the number of inspections carried out per month (top left part of the above image),
  • which activities were carried out, such as photos taken, or any other activities registered via the mobile application (top right part of the image)
  • the list of all proactive care reports sent to the customer's email address (bottom left part of the image), and
  • the list of all sent reports (bottom right part of the image)

Below these panes is a list of all photos taken via the mobile application.

If you wish to download or view the photos in full resolution, simply click the Action button next to the image and select 'Open image in full resolution'.

Sensors

This panel shows a list of all of the sensors linked to this contract, as well as an overview of all the warnings and alerts generated by these sensors.

The sensors are displayed first:

All of the key information about each individual sensors is displayed here, and you can deactivate the sensors by using the Edit button.

The log of all of the alerts and status notifications can be accessed by clicking the Log button.

Below the list of sensors is a list of all warnings and alerts generated by the sensors. You can change the status of the alert by clicking the Edit button, and you can check the list of all messages generated for the individual alert by clicking the Log button.
