Contracts - homescreen
The Contracts homescreen contains the key information you need to manage your contracts properly.
At the top of the screen, you will see the following elements:
1 - Active contracts by status: all of your currently active contracts according to their status. This will give you quick insight into any potential actions that you need to do in regard to your contracts, such as renewing them, sending quotes etc. Note that the number of 'not charged' contracts is displayed here due to the importance of this status. 2 - By service: all of your contracts according to the contractual service they contain. This information lets you know which of your contractual services are the most 'popular' among your customers and how you can adjust accordingly.
3 - Proactive Boat Care: this segment provides you with the information on the number of active Proactive Boat Care mobile applications and sensors in your marina, as well as the alerts currently active. Search ribbon
Below the said elements is the search ribbon, which consists of two distinct, but linked parts:
1 - Search filters: whether you're looking for one specific contract, or a group of contracts, the search filters are used to narrow your search and make sure only the relevant contracts are displayed
2 - Search refinement: the search refinement section allows you to set up the default filters that apply whenever you access the Contracts module, and you can also set up any other searches that you use often.Additionally, you can create more complex or specific searches...
Saved search: in this dropdown menu, you will be able to choose from a list of all search sets that you have set up for yourself. Simply click the arrow to the right and select the appropriate search set.
Advanced: click the Advanced button to further expand the number of search parameters (berth, customer, boat...) displayed. In order to add new parameters, simply click the Add Fields button and choose the appropriate parameters.
Search: click this button to activate the search parameters present in section 1 and display all appropriate contracts
Reset: click this button to remove all of your parameters and reset back to the default parameters of your search set
Save: click this button to save your current search set. Name the set and, if you want it to be applied whenever you open the Contracts module, tick the "Set as default" box. Note that this search set will only be visible to you, and it will only be default for you. Other users will have their own search sets.
Example: Nancy works at the reception of a fairly large marina. It is her duty to make sure that all the contracts for dry berths are sent a quote when they are set to expire in the following 120 days.
Nancy accesses the search filters and sets them as follows: Service equals DRY BERTH, DaysTillBilling less than or equal to 120 days, Status equals Active/Charged. She clicks Save and sets the search set as "Dry berth renew" and sets it as her default search set. From now on, whenever Nancy accesses the Contracts module, the first thing she sees are any contracts that she has to send quotes to.
Contracts
Each contract has some key information about it displayed on the front page. Of course, by clicking the name of the contractual customer on the left, you can access more detailed information about the individual contract.
The far left column contains the customer's name and date of contract conclusion.
The column next to it indicates the Proactive Boat Care status (NONE, BASIC, STANDARD, PREMIUM) and the number of dock walk activities carried out for this contract.
The following column indicates the unique reference code for this contract, the boat's name and the berth which it is contractually assigned to. Note that this berth will not change if the boat is temporarily relocated to another berth.
The following column indicates the status of the contract, its start date, end date and its billed until date.
To the far right is the visual indication of the contract's billed until date. The circle will change color as the contract nears its expiry date.
