Using the Edit Mail Templates section of Marinacloud, you can edit all mail templates that are sent to your customers, as well as create any number of new templates based on your own requirements and needs.

 

The first step when creating or editing a template is to select the Template type in the top left corner. Since you can send emails from several different modules of the Marinacloud system, this template type defines which modules the template will be available in (Quotes, Customers, Contracts, Invoices).

Once you have selected the appropriate group, a list of all available templates will appear below the Create new template button.

 

If you want to edit an existing template, click that template.

If you want to create a new template, click the Create new template button.

 

The next step is to select the language version that you wish to edit. At the centre top of the screen, all language versions available for that template will appear. These language versions are important because they will be used when you send emails to customers with various languages assigned to them.

In order to edit an existing language version, click the appropriate button.

If you want to create a new language version, click the Add language button in the top right corner of your screen.

 

Creating a new template

The first step in creating a new template is to define the subject. This is the mail title that your customers will see upon receiving the email.

Next, using the content creation window, create the email template based on your own needs and requirements.


Always select the “Custom template” option when creating a new template!


In addition to normal text, images and the like, it is also possible to insert links to various website or documents available online (e.g. on Google Drive) which your audience will then be able to access.

Note that any text surrounded by curly brackets {} is a so called merge tag. Merge tags in an actual email will contain relevant information specific to that customer. E.g. {Name} will contain the customer’s name.

To insert a merge tag, simply click a text box and a bar will appear above the line where you text box. In the far right of this bar, click Insert and select the appropriate merge tag.

 

Copying templates

Once you have created a new email template, you will likely want to duplicate this template to one or more other languages.

To do so, first click the “Add language” button in the top right and define the language and the subject.

Once you have done so, head back to your original template and click the Edit source button. A new windown will pop up with a large amount of text. Simply copy this text (Ctrl+A → Ctrl+C), close the window and return to the recenly created second-language template.

In that template, click Edit source and paste the text inside (Ctrl+A → Ctrl+V).

Your original template will now be copied to the new one. All that’s left to do is to translate the text and you’re set.

 


Don’t forget to save frequently when creating a new template or translating an existing one! You don’t want your work to get lost by accident!


 

Using your templates

Mail sending can be carried out via the below listed modules. Each of the templates listed below only appears in that module.
It is possible to send an email to just one customer, or to create a campaign to send emails to several customers at the same time. Note that it is necessary to have a defined separate template for each required language.

  • Customers: payment reminder

  • Contracts: welcome mail (sent upon concluding a contract), contract renewal quote (available only when creating an individual quote)

  • Invoices: invoice sending

  • Quotes: sending quotes, sending contract renewal quotes (available for individual and group mailing)

 

Deleting a template

In order to delete an existing email template, simply select the template you wish to delete and click the Delete template button. Note that after deletion, the template will no longer be available and it will not be possible to restore it. Therefore, you should only delete templates that you are certain you will not use in the future.

 

Campaign overview

If you are sending collective mails, you can also monitor the status of the mail batch (delivered/not
delivered, opened/not opened) via the new module in the Customers group – Mail campaigns.
